Introduction: Put It in Writing
Advocating for your child can feel intimidating, but remember: if it is not written down, it did not happen. A formal written request creates a "paper trail" and sets a timeline for the school to respond.
You do not need to be an expert in technology to send this letter. You just need to be an expert on your child. The goal of this email is not to demand a specific software immediately, but to formally request a meeting to discuss Assistive Technology (AT).
Below is a template you can copy, paste, and customize.

Re: [Child's Name], Grade [Insert Grade]
Dear [Name of Contact Person],
I am writing to request a meeting of [Child’s Name]’s IEP team to discuss potential updates to their accommodations.
Specifically, I would like to discuss the inclusion of Assistive Technology (AT) tools powered by Artificial Intelligence (AI) to support [Child’s Name]’s access to the general curriculum.
As you know, [Child’s Name] faces challenges with [mention specific struggle, e.g., reading fluency / executive function / written expression]. Recently, we have seen great success at home using AI-based tools such as [mention tool, e.g., Speechify or a speech-to-text app].
These tools have helped [Child's Name] by:
Reducing the time spent on [specific task].
Increasing independence in [specific area].
Allowing them to demonstrate their knowledge without being hindered by [specific disability].
I believe these tools align with the goal of "Accessibility for All" by providing features like speech-to-text and personalized support. I would like to formally discuss how we can integrate similar supports into [Child’s Name]’s learning plan at school.
I am available to meet on [list 3 dates/times you are free].
Thank you for your partnership in supporting [Child’s Name]’s success. I look forward to hearing from you soon.
Sincerely,
[Your Name] [Your Phone Number] [Your Email Address]
How to Customize This Letter
To make this letter effective, you need to be specific about the "Why."
1. Identify the Barrier
Schools focus on removing barriers. Use the "Benefits of AI" to describe what you need:
For Reading Issues: Mention how AI tools offer "speech-to-text and translation tools" to help diverse learners.
For Focus Issues: Mention how AI "automates scheduling, reminders, and organization" to reduce academic stress.
For Writing Issues: Mention how AI can act as an "AI writing tutor" to offer instant feedback and suggestions.
2. Provide Data (If You Have It)
If you have used these tools at home, bring examples to the meeting.
Example: "Without AI, it took him 2 hours to write one paragraph. With dictation software, he wrote three paragraphs in 20 minutes."
Conclusion
Sending this letter is the first step toward modernizing your child's education. By framing the request around "Assistive Technology" and "Accessibility," you are speaking the school's language.
Remember, you are not asking for a favor; you are asking for the tools your child needs to succeed.
